Aberdein Considine is looking for an experienced Receptionist  to join our Glasgow City Centre Legal office. The successful candidate will support various teams recognised by Legal 500 and Chambers and Partners across a variety of industries and business sectors as well as the AC Wealth, Financial Services Department.

The position will allow the opportunity for career progression for an individual who demonstrates exceptional front of house experience, ability to create a welcoming atmosphere for clients and  strong work ethic, to support the Office Manager and strive for the highest level of client service, over the phone, via email and in person.

This position is a perfect fit for an individual who demonstrates exceptional front of house experience, ideally in professional services and has the ability to create a welcoming atmosphere for clients and a supportive and accommodating work ethic, to assist the Office Manager with day to day operational running of the office and supporting staff and clients whilst continuously striving for the highest level of client service, over the phone, via email and in person.


ROLE OF DEPARTMENT
• Business Support - Support the office on a day to day basis on key business requirements.
• First point of contact for incoming calls and emails.

• Facilities co-ordination of everyday going on within the office and supporting members of staff, visitors and clients

JOB PURPOSE

• Representing the Firm as first point of contact, front of house for all new and existing clients and ensuring that the client experience is professional and efficient and exceeds expectations, from start to finish. Supporting all departments within Waterloo office and responsible for operational duties to facilitate every day running of the business.

KEY RESPONSIBILITIES

• Management of meeting room bookings and preparation/presentation of the facilities including setting up/ Zoom/ Webex / Online Court hearings
• Management of catering requirements for corporate clients and other meetings held.
• Highest level of customer service when greeting clients on arrival, secure sign in procedure and informing departments/staff of their client’s arrival.
• First point of contact for clients and all calls received.
• First point of contact for all new business and general enquiries received via branch email. 
• Recording all new business enquiries received for reporting purposes
• First point of contact for any day to day issues members of staff may be experiencing, whether this be within the workplace, equipment or of a personal nature and addressing with the upmost discretion and passing onto the appropriate member of staff where required• Ordering of Stationery.
• Dealing with all office invoices. 
• Dealing with cheque requirements.
• Credit card banking.
• Petty cash.
• Dealing with seating/desk requests from visiting employees.
• Coordinating contractor visits and facility requests i.e. heating, printer, confidential waste etc.
• General admin support for the branch and other Glasgow Offices, namely opening/closing of files on VisualFiles
• Working with HR and Partners to facilitate Employee New Starts/ Transfers and arranging all seating and equipment requirements ahead of start date.
• Forming strong relationships with all staff in order to understand and assist with any concerns they may have and maintaining an already long established, welcoming and positive office morale.


Requirements

QUALIFICATIONS

Essential

•Highers or equivalent in English and Mathematics 
Desirable
•Highers or equivalent in IT

•Highers or equivalent in Administration.

SKILLS AND EXPERIENCE

Essential

• Customer service based role – to include diary management

• Call handling – Outbound and Inbound

Desirable

• Legal office or professional services experience
